Fleet Vehicle Damage Reporting Checklist

By CyFair Auto Restoration Services · September 16, 2026

A simple checklist for drivers and fleet managers to document damage consistently.

Fleet Vehicle Damage Reporting Checklist

When a vehicle gets damaged, the quality of the report determines how fast it gets fixed. A consistent checklist helps drivers report clearly and helps fleet managers prioritize repairs.

Use this checklist any time a vehicle is damaged — whether from an incident or wear and tear.

The checklist

  • Unit Number — Which vehicle? (e.g. VAN-01, TRUCK-12)
  • Driver — Who was operating or responsible for the vehicle?
  • Date — When did the damage occur or get noticed?
  • Location — Where did it happen (lot, road, job site)?
  • Damage Area — Where on the vehicle? (front bumper, driver door, rear quarter, etc.)
  • Photos — Take several clear photos from different angles, close-up and wide.
  • Drivable? — Is the vehicle safe and legal to drive, or does it need to be parked?
  • Warning Lights? — Are any dashboard warning lights on?
  • Other Party Involved? — If another vehicle or person was involved, note details.
  • Notes — Anything else worth knowing — weather, road conditions, witness info.

Why consistency matters

When every report follows the same format, a fleet manager can quickly compare vehicles, spot recurring damage patterns (e.g. the same unit getting bumper damage repeatedly), and prioritize which units to schedule first.

What to do with the report

Once you have the report and photos, send them to us with a fleet service request. We'll review the scope and follow up to coordinate eligible repairs at your location.

Tips for good photos

  • Photograph in good light when possible.
  • Include a wide shot showing the whole vehicle and the damage area.
  • Add close-ups of the actual damage.
  • If there's paint transfer from another object, photograph that too.

Keep this checklist handy in each vehicle. Clear reports mean faster repairs and less downtime for your fleet.
